In the following, you will learn what information is collected, how Holoplot deals with it, how it protects it and to whom Holoplot may make it available.

With this information on data protection, we would like to inform you when we store which data and for what purpose we use it – naturally in compliance with the applicable data protection regulations.

Constant technological developments, changes to our services or the legal situation as well as other reasons may require adjustments to our data protection information. We, therefore, reserve the right to change this data protection declaration at any time and ask you to inform yourself regularly about the current status.

General information
When you access our website, our web servers automatically collect information of a general nature. This includes the type of web browser, the operating system used, the domain name of the Internet service provider, the IP address of the computer used, the website from which you visit us, the pages you visit on our site and the date and duration of your visit.
These data cannot be used by us to identify individual users. The information is evaluated by us only statistically and used exclusively to improve the attractiveness, contents, and functionalities of our web pages.

Legal basis for the collection and processing of personal data
Where we obtain your consent for the processing of personal data, Art. 6 para. 1 lit. a DSGVO serves as the legal basis for the processing of your personal data.
When processing your personal data to fulfil a contract between you and Holoplot, Art. 6 para. 1 lit. b DSGVO serves as the legal basis. This also applies to processing operations that are necessary for the implementation of pre-contractual measures.
If the processing of personal data is necessary to fulfil a legal obligation to which our company is subject, Art. 6 para. 1 lit. c DSGVO serves as the legal basis.
If the processing is necessary to safeguard a legitimate interest of our company or a third party and if the interests, fundamental rights and fundamental freedoms of the data subject do not outweigh the first-mentioned interest, Art. 6 para. 1 lit. f DSGVO serves as the legal basis for the processing.

Data deletion and storage period
The personal data of the person concerned will be deleted or blocked as soon as the purpose of storage no longer applies. In addition, the data may be stored if the European or national legislator has provided for this in EU regulations, laws or other provisions to which the person responsible is subject. The data shall also be blocked or deleted if a storage period prescribed by the aforementioned standards expires unless it is necessary for further storage of the data for the conclusion or performance of a contract.

Collection and processing of personal data
Personal data are only collected if you provide them voluntarily, for example to carry out an order, a survey, a competition or a registration for personalised services. There you will be informed about the intended processing purpose and – if necessary – asked for your consent to storage.
The personal data collected within the framework of our web pages will only be used without your consent for order processing or processing your inquiries and, if necessary, passed on to the responsible company for this purpose. Only with your consent will your data be used in a centrally managed customer and prospective customer database administered under the responsibility of Holoplot, and your data will be merged with Holoplot. The use of this data is restricted to advertising and market and opinion research purposes. You can revoke your respective consent at any time with effect for the future.
Your data will be encrypted before transmission and processing in order to protect it from access by unauthorized persons. Please note that e-mails sent unencrypted are not transmitted with access protection.
Your data will not be sold, rented or – in any other way than described here – made available to third parties. Personal data will only be transferred to state institutions and authorities within the framework of mandatory national legal provisions. Our employees, agencies and dealers are obliged by us to maintain the strictest confidentiality.

Contact inquiries
You have the possibility to contact us via our e-mail address, telephone, or the contact form. The personal data transmitted to us in this way will, of course, be used exclusively for the purpose for which you provided it when contacting us.
Your request via the contact form can be forwarded directly to the Holoplot branch responsible for you by stating the country in which your company is domiciled.
If we use our contact form to request information that is not required for contacting you, we have always marked it as optional. These details serve us to concretize your inquiry and to improve the handling of your request. A communication of these data takes place expressly on a voluntary basis and with your consent. Wherever this information relates to communication channels (e.g. e-mail address, telephone number), you also agree that we may contact you via this communication channel in order to respond to your request.
You can, of course, revoke this consent at any time for the future. Please contact our data protection officer, whose contact details you will find below.

Applications
You can apply online to Holoplot via our application portal (Personio). Your online application will be forwarded directly to the personnel department via an encrypted connection and will of course be treated confidentially. We will of course only use your details to process your application and will not pass them on to third parties outside Holoplot.
Further information on data processing within the framework of the application procedure can be found in the data protection declaration of our application portal. If you have applied for a specific position and this position has already been filled or we consider you to be suitable for another position as well or even better, we would like to forward your application within the company. Please let us know if you do not agree to your application being forwarded. Your personal data will be deleted immediately after completion of the application process, or after a maximum of 6 months, unless you have expressly given us your consent for a longer storage of your data.
Please note that we only offer the applicant portal for applications. Should you nevertheless apply to us by e-mail, we expressly point out that e-mail attachments are not encrypted and may not be deleted.
If a recruitment activity takes place via a public career portal such as Xing or LinkedIn, we point out to you that we have no influence on the data processing of the networks and that we can only view your data if you have made it publicly available in the network.

Registration required content for download
If you download documents from us, you will receive them in return for the transfer of your personal data. Your registration data will be transferred to our CRM system. We will use the data received from you in this way to assign the download to your data and for announcements of workshops, campaigns and trade fairs within the scope of our legitimate interest.
Online Seminars and Workshops
You can register for (online) seminars or workshops via our website. Your registration data will be transferred to our CRM system. After a workshop we will send you a satisfaction survey if you have agreed to it. In addition, your consent also includes further advertising in the context of announcements of new workshops or trade fairs. 

Newsletter
To send our newsletter we use HubSpot, a product of the US provider HubSpot, Inc., 25 First Street, 2nd Floor, Cambridge, MA 02141 USA. You can subscribe to our newsletter on our Web site. We also need to verify that you are the actual owner of the email address you provide and that you wish to receive the newsletter, in accordance with applicable laws and regulations. We, therefore, collect information that makes such verification possible. The data collected in this context is used to send and receive the newsletter. They have a different purpose and will not be passed on to third parties. As the sending and receiving of newsletters is dependent on your consent, you can revoke this consent to the collection and storage of your data at any time without giving reasons. Use the “unsubscribe link” provided in the newsletter for this purpose. The storage serves the sole purpose of being able to send you the newsletter. In addition, we save your IP addresses and the time points when you register and confirm in order to prevent misuse of your personal data.

Data transfer to third parties

Data transmission to Holoplot partners
A transfer of your data to third parties outside Holoplot does not take place, unless we are legally obliged to do so, or the data transfer is necessary for the execution of the contractual relationship or you have previously expressly consented to the transfer of your data. External service providers and partner companies receive your data only to the extent necessary to process your request. In these cases, however, the scope of the transmitted data is limited to the necessary minimum. Wherever our service providers come into contact with your personal data, we ensure that they comply with the provisions of the data protection laws in the same way. Please also note the respective data protection information of the providers. The respective service provider is responsible for the content of external services, whereby we check the compliance of the services with the legal requirements within the scope of reasonableness.

Data transfer to external service providers (order processors)
Your data will be passed on to service partners if they are active on our behalf and support Holoplot in providing their services.
Your personal data will be processed by contracted service providers as part of order processing in accordance with Art. 28 DSGVO.
The aforementioned service providers only receive access to such personal information that is necessary for the performance of the respective activity. These service providers are prohibited from passing on your personal information or using it for other purposes, in particular for their own advertising purposes.
Where external service providers come into contact with your personal data, we have taken legal, technical and organisational measures as well as regular checks to ensure that they also comply with the applicable data protection regulations.
Your personal data will not be commercially passed on to other companies.
We would like to point out that we process your data using the CRM and marketing products of HubSpot Inc. All data is processed on the HubSpot marketing platform and therefore transmitted to HubSpot, Inc. and affiliated companies. Although HubSpot has operated a data center in Frankfurt since spring 2018, HubSpot cannot guarantee that data will not be transferred to the USA.

Does HubSpot comply with the DSGVO guidelines?
HubSpot, Inc. participates in the EU-US Privacy Shield Agreement and the Swiss-US Privacy Shield Agreement and is certified for compliance with them. The following affiliated companies comply with the privacy policy of the Privacy Shield: HubSpot Ireland Limited, HubSpot Australia Pty Ltd, HubSpot Asia Pte Ltd. and HubSpot Japan KK. HubSpot has undertaken to treat all personal data obtained from member states of the European Union (EU) and from Switzerland in accordance with the applicable principles of the Privacy Shield Agreement. Improving our website and online advertising
When collecting personal data via website optimisation tools, we invoke our legitimate interest pursuant to Article 6 para. 1 lit. f DSGVO in conjunction with Recital No. 47. According to this, direct advertising generally constitutes a legitimate interest. Your interests, fundamental rights and fundamental freedoms do not outweigh our interest in advertising, since we inform you comprehensively about the data collection within the scope of our data protection declaration and you have the possibility of an opt-out (via link or browser settings) at any time.
If we carry out advertising and campaigns via social media, we draw your attention to the fact that we have no influence on data processing in social networks. If we collect data from you there, the data will only be collected for the purpose for which you provided it to us.

Cookies, Pixel and Web Beacons
So-called cookies are used in some areas of our pages. A cookie is a small text file that a website stores on your hard drive. Web beacons or pixel tags are shortcode strings that are placed on a web page or in an email message to monitor visitor behavior and collect information about their page views or viewing or opening an email. Cookies do not harm your computer and do not contain viruses. The cookies on our website do not collect any personal data. We use the information contained in cookies to make it easier for you to use our pages and to tailor them to your needs.
Both session cookies and permanent cookies are used on our website. Session cookies are temporary cookies that are stored in the user’s Internet browser until the browser window is closed and the session cookies are deleted. Persistent cookies are used for repeated visits and are stored in the user’s browser for a period of time (usually 1 year or longer). These cookies are not deleted when the browser is closed. This type of cookie is used to reuse a user’s preferences as soon as they return to the site.

Application of HubSpot Tracking Cookies for data processing and profiling
On our website we use the HubSpot Tracking Cookie. This cookie, like others, collects demographic information and stores data regarding your use of our Web sites. This includes your IP address, browser type, domain name, Internet Service Provider (ISP), files viewed on our Web site (e.g., HTML pages, graphics, etc.), operating system, clickstream data, access times, and addresses of Web sites from which you access our Web site.
Already existing personal data (name, email, address), in so far as you have voluntarily submitted these to us (website form, inquiries by third parties, business cards, etc.), are linked to the data of the cookie (e.g. visited websites, clicks on emails). Remarketing or “custom audience” function of Google Inc.
This website uses the Google AdWords remarketing or “custom audience” function of Google. This feature is used to provide users of our website and other users with similar interests with targeted product recommendations and interest-based advertisements based on their online user behavior when they visit other websites on the Google Display Network or perform a Google search. When our advertisements are displayed on these websites, we receive information about visits to these websites, such as how often our ad was viewed, how many clicks and visits were generated by a particular ad, and what content was accessed after a click on an ad on our website.
This interest-based advertising is based on an analysis of online user behavior. Google uses cookies to perform this analysis.
The cookies are used to record visits to the website using a unique identification of a web browser on a particular computer and not to identify a person. All data is stored by using a pseudonym, so that it is not possible to draw conclusions about the person of the user and thus a personal identification without further ado.

Google AdWords
In order to draw attention to our services, we place Google AdWords ads and use Google Conversion Tracking and the Google Tag Manager for the purpose of personalized, interest- and location-related online advertising. The option to make IP addresses anonymous is controlled by an internal setting that becomes visible in the source code of this page. This internal setting is set so that the anonymization of IP addresses required by the Federal Data Protection Act is achieved.
The ads are displayed on Google’s advertising network web pages following search queries. We have the option of combining our ads with specific search terms. Cookies allow us to serve ads based on a user’s previous visits to our website.
When you click on an ad, Google places a cookie on the user’s computer. Further information on the cookie technology used can also be found in Google’s website statistics and privacy policy.
With the help of this technology, Google and we as customers receive information that a user clicked on an advertisement and was directed to our web pages. The information obtained from this is used exclusively for statistical evaluation to optimize the ad. We do not receive any information with which visitors can be personally identified. The statistics provided to us by Google include the total number of users who clicked on one of our ads and, if applicable, whether they were directed to a page on our website with a conversion tag. These statistics enable us to track which keywords were clicked on our ad most frequently and which ads lead to the user contacting us, for example via the contact form.
The information obtained in this way is transferred via the Google ClickID interface to our CRM system (Web to Lead).
If you do not want this, you can prevent the cookies required for these technologies from being saved, for example, by changing your browser settings. In this case, your visit will not be included in the user statistics.
You also have the option of selecting the types of Google ads or deactivating interest-based ads on Google via the display settings. Alternatively, you can disable the use of cookies by third parties by going to the Network Advertising Initiative’s disable help.
However, we and Google continue to receive statistical information about how many users visited this site and when. If you also do not want to be included in these statistics, you can prevent this by using additional programs for your browser (such as the Ghostery add-on).
Use of Google Analytics with anonymization function
We use Google Analytics, a web analytics service provided by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043 USA, hereinafter referred to as “Google”, on our site. Google Analytics uses “cookies”, which are text files placed on your computer, to help the website analyze how users use the site.
The information generated by these cookies, such as the time, place and frequency of your website visit, including your IP address, is transmitted to and stored by Google in the United States.
We use Google Analytics with the addition “_gat._anonymizeIp” on our website. In this case, your IP address will already be shortened by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area and thus anonymized.

Google will not, according to its own specifications, associate your IP address with any other data held by Google. In addition, Google offers a deactivation add-on for the most common browsers, which gives you more control over which data Google collects about the websites you visit. The add-on informs the JavaScript (ga.js) of Google Analytics that no information about the website visit should be transmitted to Google Analytics. However, Google Analytics’ deactivation add-on for browsers does not prevent information from being transmitted to us or to other web analytics services we may use. If you visit our site from a mobile device (smartphone or tablet), you will need to click this link instead to prevent Google Analytics from tracking you within this site in the future. Facebook Custom Audience Pixel
This website uses the Custom Audience Pixel, a service of Facebook Inc, USA. The Custom Audience Pixel is a Java script code that we have integrated into every one of our websites. We use the Custom Audience Pixel to collect information about the way visitors use our website. This pixel collects and reports to Facebook information about the user’s browser session, a hashed version of the Facebook ID, and the URL being viewed. Each Facebook user has a unique and device-independent Facebook ID that enables us to reach and recognize users across multiple devices on the Facebook social network so that we can re-target our visitors for promotional purposes in Facebook ads. After 180 days, user information is deleted until the user returns to our website. Therefore, no personal information is disclosed to Holoplot about individual website visitors, and we can only target website customer groups in ads once they have reached a significant number.

LinkedIn Insight Tag
This website uses the LinkedIn Insight Tag Pixel, a service of LinkedIn Inc., USA. The pixel is a Java script code that we have integrated into each of our websites. We use custom audience pixels to collect information about the way visitors use our website. We use Hotjar in order to better understand our users’ needs and to optimize this service and experience. Hotjar is a technology service that helps us better understand our users experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices (in particular device’s IP address (captured and stored only in anonymized form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), preferred language used to display our website). Hotjar stores this information in a pseudonymized user profile. Use of Google Optimize
Google Optimize utilizes Analytics cookies to target content variants to a user and a content experiment cookie to determine a user’s participation in an experiment. Google Optimize is used to keep track of your involvement when we test how you react to one page or piece of content over another, like an A/B split test. An A/B split test is a common method to test user preference. Social Plugins
On our website, we use social plugins of various social networks (Facebook, Twitter, Google+, LinkedIn, Xing, YouTube).
The plugins allow you to share and comment on content. You recognize the plugin by the individual logo of the social network.
The plugins may also be used to transmit personal data to the providers. The content of the plugin is transmitted directly to your browser and integrated into the website by it. We, therefore, have no influence on the extent of the data collected with the help of the plugins.
To prevent unwanted data transmission, the plugins on this website are deactivated by default. Only with a click on the respective symbol, the plugin is activated and data can be transferred to the provider. For this purpose, the activation of the plugin establishes a connection between your browser and the server of the social network. The plugins can of course be deactivated at any time.
If the plugins are activated, information such as your IP address, a message that you have visited our site and other browser-related information are already transmitted when you call up our site.
If you are registered in the respective social network, this information can be assigned to your account. If the plugin is active, it will send information regardless of whether you are currently logged in or have an active account. When you visit our website, a cookie is stored in your browser, which stores this information and transmits it to the social network when you visit it again.

Holoplot uses technical and organisational security measures in order to protect your data administered by us against accidental or intentional manipulation, loss, destruction or access by unauthorised persons. Our security measures are continuously improved in line with technological developments.

Rights of data subjects
If personal data is processed from you, you are affected in the sense of DSGVO and you have the following rights against the responsible person:

Right to information pursuant to Article 15 DSGVO
You may request confirmation from us as to whether personal data relating to you will be processed by us. If we have processed data from you, you are entitled to further information rights as referred to in Article 15 DSGVO.

Right to rectification
If your data which we have collected from you is incorrect or incomplete, you can demand an immediate correction from us in accordance with Article 16 DSGVO.

Right to limitation of processing
Subject to the requirements of Article 18 DSGVO, you may also request that the processing of your personal data be restricted under certain circumstances. After the limitation, your data may only be processed with your consent or for the purpose of asserting, exercising or defending legal claims, or to protect the rights of another natural or legal person, or for reasons of an important public interest of the Union or a Member State. We will inform you before the restriction is lifted.

Right of deletion
If one of the reasons for Article 17 (1) DSGVO applies, you can demand that we delete your personal data immediately, unless there is an exception to the deletion obligation under Article 17 (3) DSGVO.

Right to information
If you have asserted the right to correction, deletion or restriction of processing against us, we are obliged pursuant to Article 19 DSGVO to notify all recipients of your personal data, unless the notification is impossible or involves a disproportionate effort. You also have the right to be informed of the recipients. You have the right vis-à-vis the person responsible to be informed about these recipients.

Right to data transferability
Furthermore, according to Article 20 DSGVO, you have the right to receive from us the personal data concerning you in machine-readable format and to transfer the data to another responsible person without obstruction, provided that the requirements of Article 20 para. 1 lit.a DSGVO are met, or to have your personal data transferred directly by us to another responsible person, where this is technically feasible and no freedoms and rights of other persons are impaired thereby. This right does not apply to the processing of personal data which is necessary for the performance of a task in the public interest or for the exercise of official authority.

Right of objection
You have the right at any time to object to the processing of your personal data by Holoplot GmbH in accordance with Art. 6 Para. 1 lit. f DSGVO. As soon as you have lodged an objection, we will no longer process your personal data unless legitimate reasons for the processing outweigh your interests, rights and freedoms, or the processing serves to assert, exercise or defend legal claims.

Right to revoke the declaration of consent under data protection law
You have the right at any time to revoke your declaration of consent under data protection law with a declaration to Holoplot GmbH. The revocation of your consent does not affect the legality of the processing carried out on the basis of your consent until you revoke it.

Right of complaint to the supervisory authority
Without prejudice to any other administrative or judicial remedy, you shall at all times have the right to complain to a supervisory authority, in particular in the Member State in which you are staying, at your place of work or at the place where the alleged infringement was committed, if you consider that the processing of your personal data is contrary to this Regulation.

Um auf unsere Dienstleistungen aufmerksam zu machen, schalten wir Google-AdWords-Anzeigen und nutzen im Rahmen dessen das Google Conversion-Tracking und den Google Tag Manager zum Zwecke einer personalisierten, interessen- und standortbezogenen Online-Werbung.
